This policy explains how deposits, booking fees, cancellations, non-attendance, late arrival, rescheduling requests, gift vouchers, weather concerns, wedding bookings, image selection, delivery, prints and product orders are handled when booking Inspire Photo Studios Ltd.
A booking is not confirmed until Inspire Photo Studios Ltd has accepted the booking and the required booking fee, deposit, retainer, voucher payment or full payment has been received.
The appointment date and time are only reserved once the required payment has been received. Until payment is received, the time slot remains available and cannot be guaranteed.
When a booking is accepted, we reserve the agreed date, time, studio space, photographer time, preparation time and administration for the client. This means we may turn away other customers for the same date or time.
The client is responsible for checking that the booking date, time, location, service type, package and any confirmed booking details are correct before making payment.
A deposit, booking fee or retainer is required to secure your appointment. This payment reserves your selected date and time and is deducted from the final payment for the booked service.
For professional headshot bookings, depending on the package chosen, we require a £30 or £50 non-refundable and non-transferable deposit.
For studio photoshoots, we require a £50 non-refundable and non-transferable deposit.
For outdoor photoshoots, we require a £100 non-refundable and non-transferable deposit.
For wedding photography, wedding videography or combined wedding photography and videography bookings, we require a 50% non-refundable and non-transferable deposit. Different deposit amounts may apply to events, commercial bookings, larger projects, custom work or special requests. Any different amount will be confirmed before payment.
The deposit is non-refundable and non-transferable once paid. It applies only to the original date and time booked. No changes, transfers or rescheduling are permitted once the deposit has been paid, unless we choose to agree otherwise in writing at our sole discretion.
The deposit will be forfeited in the event of cancellation at any time, non-attendance, arrival more than 15 minutes late or any request to reschedule. This is because we reserve the time slot, studio space, photographer time, preparation, administration and availability for you and we may turn away other customers for the same date or time.
The deposit remains non-refundable and non-transferable where the client cancels, does not attend, arrives late or requests to reschedule because of weather, weather forecasts, travel problems, traffic, parking issues, illness, lack of preparation, unsuitable clothing, change of mind, personal circumstances or any other reason outside our control.
The deposit is retained as a genuine pre-estimate of our loss and costs, including reserved time, diary allocation, preparation, communication, administration, opportunity loss and the fact that the appointment may no longer be possible to sell to another client.

Gift vouchers may be purchased from Inspire Photo Studios Ltd for selected photography services, studio sessions, outdoor sessions or packages available at the time of purchase.
A gift voucher must be paid in full before it is issued. For studio sessions, the full price of the selected studio session or package must be paid. For outdoor sessions, the full price of the selected outdoor session or package must be paid. The voucher is not issued until full payment has been received.
Gift vouchers are valid for 3 months from the date payment is received. The voucher holder must contact Inspire Photo Studios Ltd and book the photoshoot date within the 3-month voucher validity period.
All voucher bookings are subject to Inspire Photo Studios Ltd availability, session type, package type, studio schedule, outdoor session availability, wedding bookings, event bookings and existing appointments. A gift voucher does not guarantee a specific date, time, weekend appointment, Saturday appointment, Sunday appointment, bank holiday appointment or peak-time appointment.
If the voucher holder wants to book a specific date, time or period, they must contact us as early as possible within the voucher validity period. If the voucher holder contacts us close to the expiry date and we do not have suitable availability before the voucher expires, the voucher will still expire on the original expiry date. The voucher holder is responsible for contacting us in good time and allowing enough availability options before the expiry date.
Once a voucher session date and time have been confirmed, that appointment is fixed and the reserved time slot is held for the voucher holder. If the voucher holder later wants to change the confirmed date or time, does not attend, arrives more than 15 minutes late or requests to reschedule after the time slot has been reserved, the original voucher appointment will be treated as missed or cancelled.
Any new appointment after a missed, cancelled or rescheduled voucher appointment will require a new £50 non-refundable and non-transferable deposit retainer to reserve another date and time slot, subject to Inspire Photo Studios Ltd availability and provided the voucher has not expired.
Once a gift voucher has expired, it is no longer valid and cannot be used to book or attend a session. Expired vouchers will not be accepted, extended, refunded, transferred, exchanged for cash, converted into credit or replaced with another service or voucher.
Gift vouchers are non-refundable once paid and issued. If the purchaser or voucher holder changes their mind, chooses another photographer, no longer wants the session, fails to contact us within the validity period, fails to book in time, cannot attend, misses the expiry date or cannot find a suitable date based on our availability, no refund, return, transfer, extension, credit, replacement session or compensation will be provided.
The voucher covers only the photography service, session type, package or amount stated on the voucher. Extra images, prints, albums, frames, wall art, additional editing, additional retouching, extra coverage time, travel, special requests or any other extra product or service are not included unless paid for separately.
Gift vouchers cannot be used together with other discounts, offers, promotions or special prices unless Inspire Photo Studios Ltd agrees otherwise. A voucher cannot be exchanged for cash and no cash refund or partial refund will be given if the full voucher value is not used.
The booking made using a gift voucher is still subject to this Refunds, Cancellations & Rescheduling Policy and our Terms & Conditions, including our cancellation, late arrival, no-show, rescheduling, preparation, image selection, editing, delivery, RAW files, prints, copyright and liability rules.

If the client cancels the booking at any time for any reason, does not attend, arrives more than 15 minutes late or requests to reschedule, the deposit is forfeited and is not refundable or transferable.
This applies whether the cancellation, non-attendance, late arrival or rescheduling request happens weeks before, days before, the day before, on the day of the photoshoot or only a few hours before the appointment.
This includes cancellation due to illness, change of mind, child or baby not being in the expected mood, a baby not smiling, wanting to wait until a child is older, weather or weather forecasts, travel problems, diary mistakes, family issues, lack of preparation or any other personal reason outside our control.
If the client books Inspire Photo Studios Ltd and later decides to use another photographer, videographer, studio, supplier or service provider, this is treated as a client cancellation. Choosing another supplier, preferring another photography or editing style, finding a cheaper option, changing budget, changing preference, comparing us with another provider or no longer wanting our service does not entitle the client to a refund, deposit refund, deposit transfer, credit, free reschedule, replacement session or compensation.

We will not be responsible for indirect losses, emotional distress, disappointment, travel costs, outfits, makeup, childcare, accommodation, third-party supplier costs or other expenses caused by a client cancellation, late arrival, no-show or request to reschedule.
If the client confirms that a booking is cancelled, the cancellation is final and Inspire Photo Studios Ltd may immediately release the date and time slot, offer it to another client, accept another booking, session or event or make other use of that time. Once a cancellation has been confirmed by the client, the client has no right to attend the original appointment, use the original time slot or require the booking to be reinstated, even if the client later changes their mind.
A booking is made for the specific date and time agreed. Once the deposit has been paid, no changes, transfers or rescheduling are permitted unless we agree otherwise in writing at our sole discretion.
Any request to change the date, time, service type, location or booking details is treated as a request to change the booking. Inspire Photo Studios Ltd is not required to accept the request.
If we choose to offer a new date or time as a goodwill gesture, the original deposit remains non-refundable and non-transferable unless we expressly agree otherwise in writing. A new deposit may be required to secure a new appointment.
Failure to attend a rearranged appointment, where one has been agreed by us in writing, will result in the deposit being forfeited.
Clients must arrive on time for their appointment. Studio appointments are scheduled around other clients, staff time and studio availability.
If the client arrives late, the session may be shortened to fit the remaining time. If the client arrives more than 15 minutes late, we may treat the appointment as cancelled or as a no-show.
Late arrival does not entitle the client to extra time, a free reschedule, a reduced price, a deposit refund, a partial refund or any compensation. Any additional time is subject to availability and may incur extra charges.
For outdoor photoshoots, the client accepts that weather, temperature, wind, rain, clouds, sunlight, public spaces, traffic, parking, delays, noise, crowds and location conditions are outside our control.
If the client chooses to cancel, not attend, arrive more than 15 minutes late or request to reschedule because of weather, weather forecasts or any other external condition, the deposit remains forfeited, non-refundable and non-transferable. This applies at any time, whether the cancellation, non-attendance or rescheduling request is made weeks before, days before, the day before, on the day of the photoshoot or only a few hours before the appointment.
Weather concerns do not automatically entitle the client to a refund, transfer, credit, free reschedule or replacement session. The deposit is only refundable if Inspire Photo Studios Ltd cancels and cannot provide the booked service or a suitable alternative.
We do not carry out outdoor photoshoots in rain, unsafe weather, unsuitable ground conditions or any condition that may create a safety risk or risk damage to our professional photography equipment, lighting, cameras, lenses or accessories. Whether an outdoor session can safely or suitably proceed is decided by Inspire Photo Studios Ltd.
If weather, rain, safety issues, equipment risk or location conditions make the outdoor photoshoot unsuitable to proceed, Inspire Photo Studios Ltd may cancel, shorten, adapt, move location or offer a suitable alternative at our discretion. The client cannot require us to shoot in rain, unsafe conditions, unsuitable locations or any situation that may risk damage to our equipment or affect the safe and proper delivery of the service.
For studio sessions, headshots, family sessions, baby sessions, maternity sessions and newborn sessions, the client accepts that the final result depends on many factors, including preparation, timing, cooperation, mood, age, health, tiredness, feeding, confidence, comfort, posing ability and behaviour.
Weather, traffic, parking, travel delays, public transport issues, diary mistakes, lack of preparation, personal circumstances or late arrival do not make the deposit refundable where the client cancels, does not attend, arrives late or requests to reschedule.
Parents and guardians remain responsible for their children at all times during the session. Children must be supervised by the parent or guardian and all reasonable safety instructions given by the photographer or studio staff must be followed.
We cannot guarantee that a baby, child or newborn will smile, sleep, pose, cooperate, look at the camera, remain calm or behave in a particular way. A baby, child or newborn being unwell, unsettled, tired, crying, not smiling, not ready, not sleeping or not cooperating does not entitle the client to a refund, deposit transfer, free reschedule, free replacement session, discount or additional edited images.
The deposit reserves the appointment time and studio availability. It does not guarantee a specific expression, smile, pose, behaviour, number of perfect images, number of usable images or specific outcome.
For maternity sessions, Inspire Photo Studios Ltd will not carry out poses, positions, movements, props, furniture arrangements or studio setups that we consider unsafe, unsuitable, unstable, uncomfortable or inappropriate for the client, the baby, the photographer, studio staff or anyone present. The client cannot require us to carry out risky maternity poses, unsafe poses, unstable furniture setups, difficult movements or any pose or arrangement that may create a safety risk.
For newborn sessions, the safety and comfort of the baby comes first. Inspire Photo Studios Ltd will not force, bend, balance, suspend, hang, overstretch or place a newborn in any pose, prop, basket, chair, setup or position that we consider unsafe, unsuitable or unreasonable. Some newborn poses shown online or in other portfolios may be composite images, heavily assisted poses or unsuitable for a particular baby and they are not guaranteed.
The client cannot require Inspire Photo Studios Ltd to copy unsafe poses, force a baby or child into a pose, continue a setup that we consider unsuitable or carry out any pose, prop, lighting setup or arrangement that may risk injury, distress, discomfort or damage to equipment.
If we decide, at our professional discretion, that a session cannot safely or reasonably continue, we may pause, adapt, shorten or end the session. This does not entitle the client to a refund, deposit transfer, free reschedule, free replacement session, discount, extra images or compensation.
For maternity photoshoots, the client is responsible for booking a suitable appointment date based on their pregnancy stage, due date, personal circumstances and medical advice.
If the client gives birth earlier than expected, becomes unwell, is ill, is advised not to attend or is unable to attend for any pregnancy-related, medical or personal reason, including one day, two days, one week or any other period before the scheduled photoshoot appointment, this is outside our control and does not entitle the client to a refund, deposit refund, deposit transfer, free reschedule, free replacement session or compensation.
The deposit remains non-refundable and non-transferable because the original date and time were reserved for the client.
The client is responsible for arriving on time and prepared for the session. This includes clothing, personal styling, makeup, hair, feeding, nappies, snacks, parking, travel time, children’s needs and any personal items required for the session.
We do not provide makeup, hair styling or personal styling services. Clients must arrive ready for the session. We do not allow makeup artists, hair stylists or additional styling providers to prepare clients inside the studio during the booked session time, as this can delay the session and affect the time available for photography.
For outdoor sessions, the client is responsible for arriving prepared for the agreed location, weather and session type. This includes suitable clothing, footwear, personal items, travel time, parking, children’s needs and any items required for comfort or safety during the outdoor session. Lack of preparation, unsuitable clothing, unsuitable footwear, missing personal items, parking issues, travel delays or weather-related discomfort do not entitle the client to a refund, deposit transfer, free reschedule, replacement session, discount or additional edited images.
For family sessions, adult sessions, men’s birthday sessions and professional headshots, clients are responsible for bringing their own suitable outfits, clothing, shoes, accessories and styling items. We do not provide outfits for these session types unless we expressly agree otherwise in writing before the session.
For maternity sessions, we have a selection of maternity dresses and flowy materials available for use during the studio session, subject to availability, package choice, size suitability and session time.
For children’s sessions, we have a selection of children’s outfits available for use during the studio session, subject to availability, package choice, size suitability and session time.
For women’s and girls’ birthday photoshoots, we have a few birthday dress options available for use during the studio session, subject to availability, package choice, size suitability and session time.
Any dresses, outfits, wraps, fabrics, props or accessories provided by Inspire Photo Studios Ltd are offered as an optional studio resource only. They are not guaranteed to be available, suitable, preferred by the client or a perfect fit. Because we do not charge a separate rental fee for these items as part of any package, we are not responsible if an item does not fit as expected, is unavailable or is not suitable for the client on the day.
The number of outfit changes or studio items available during a session depends on the package chosen, the session type, the time available and the client’s preparation. If the client would like to use a maternity dress, flowy material, children’s outfit or birthday dress from our collection, the client must let us know in advance.
We recommend visiting us before the session to check sizing where possible, especially for birthday dresses, maternity dresses and children’s outfits. We also recommend bringing alternative outfits to the session in case any studio item does not fit, is not suitable or is unavailable on the day.
For wedding photography, wedding videography or combined wedding photography and videography bookings, we require a 50% non-refundable and non-transferable deposit to secure the booking date.
The wedding date is not reserved until the required 50% deposit has been received and the booking has been accepted by Inspire Photo Studios Ltd. Once paid, the deposit is deducted from the final wedding balance.
The remaining balance must be paid on the date of the event. No final images, videos, previews, albums, prints, files or products will be released until the full balance and any outstanding extras have been paid.
Wedding packages include only the photography, videography, coverage time, edited images, edited video files and services listed in the chosen package paid for by the client.
Printed photos, photo albums, storytelling albums, frames, wall art, extra edited images, extra video edits, extra coverage time, travel, additional photographers, additional videographers, rush delivery, advanced retouching and any other extra product or service are not included in the wedding package unless they have been separately paid for by the client as add-ons.
The wedding venue, registry office, ceremony location, reception location, outdoor location and any other photography or videography location must be confirmed before booking. Any change of location, venue, registry office, outdoor location, schedule, route, travel requirement or coverage plan after booking must be agreed by Inspire Photo Studios Ltd in writing. We are not required to accept any change of location, additional travel, additional venue, additional stop, extended route, changed schedule or increased coverage requirement after the booking has been confirmed.
The client is responsible for checking whether professional photography or videography is allowed at the chosen venue, registry office, ceremony location, reception location, outdoor location or any other place where coverage is requested. The client is also responsible for obtaining and paying for any professional photography permit, videography permit, filming permit, location permit, venue permission, registry office permission, entry ticket, parking fee, access fee, location fee, venue charge or any other cost required for photography or videography to take place.
Inspire Photo Studios Ltd is hired only to provide the photography, videography or combined coverage agreed in the chosen package or quote. We are not responsible for checking, arranging, applying for or paying for any permit, licence, permission, ticket, entry fee, venue fee, parking fee, access fee or location charge. If photography or videography is refused, restricted, delayed, shortened or prevented because the client has not arranged the required permission, permit, access, ticket or payment, this does not entitle the client to a refund, discount, free extra coverage, free reschedule, replacement session or compensation.
Our prices are fixed according to the package, quote or service confirmed by Inspire Photo Studios Ltd. We do not reduce prices, provide discounts, add free extras, include free albums, include free prints, extend coverage time for free or provide additional services because of negotiation, comparison with another supplier, change of budget, change of mind or personal circumstances.
We do not provide RAW photo files, RAW video footage, unedited footage, unedited images, project files, working files, rejected files or unused clips. Wedding photography and videography services include only the final edited photos, final edited film, trailer, highlight video or other final edited deliverables expressly included in the chosen package or confirmed by us in writing.
Any requested extra work, product, coverage time, print, album, edit, travel, photographer, videographer or service will be quoted and charged separately. Inspire Photo Studios Ltd is not required to provide any product, service, discount or extra item that has not been paid for and confirmed in writing.
The number of final edited images included depends on the package chosen by the client. If the client wishes to purchase additional images after the session, additional images may be purchased separately, subject to the pricing that applies to the type of session booked.
After the session, the client will normally be shown the images and will choose the images they wish to keep. The images selected by the client are final, binding and are the only images that will be edited and delivered as final images. Once the client has confirmed their final image selection, no further changes, replacements, swaps, refunds, re-selection or alterations to the selected images will be permitted. Requests for replacement images, different images, refunds or changes after final selection will not be accommodated.
Our editing is soft studio editing based on the photography style shown on our website, portfolio, social media and sample galleries. By booking us, the client accepts our photographic style, lighting style, colour style, posing style and editing style.
Soft studio editing is not detailed retouching, advanced beauty retouching, body reshaping, background replacement, object removal, clothing correction, hair correction, makeup correction, skin transformation, slimming, facial reshaping, composite editing or any other advanced editing work. Additional detailed retouching or advanced editing is not included unless we expressly agree otherwise in writing.
Photos are not edited or provided on the same day. Each selected image is carefully edited to meet our quality standards. Final delivery will usually take approximately 2 to 6 days, depending on the quantity of images selected, the type of session, our workload and any circumstances outside our control. During busy periods or where a larger number of images has been selected, delivery times may vary.
Final edited images are usually delivered by downloadable link. The download link will remain available for one week from the date it is sent to the client. The client is responsible for downloading and safely storing their images within this period. We are not responsible if the client fails to download the images within one week, loses the images after downloading, deletes the files, changes device, loses access to their email or message account or fails to back up the images.
We do not guarantee permanent storage of client images after delivery. Once the downloadable link has been provided, it is the client’s responsibility to download and back up the final edited images within one week. We may delete galleries, links, edited files, working files and original files at any time after delivery without further notice.
We may, at our discretion, make a small number of reasonable corrections to final edited images where possible. Revision requests must be reasonable, specific and made promptly after delivery. Repeated requests, multiple rounds of changes, subjective preferences, changes of mind or requests outside our standard editing style are not included and may be refused or charged separately.
We do not provide RAW files, RAW video footage, unedited files, unedited footage, unretouched files, original camera files, project files, working files, rejected images, unused clips or unselected images for studio photoshoots, outdoor photoshoots, headshots, family sessions, baby sessions, weddings, events, commercial work or any other photography or videography service.
The service provided is the final edited image selection, final edited film, trailer, highlight video or other final edited deliverables supplied by Inspire Photo Studios Ltd. RAW files, RAW video footage, unedited footage and unedited files are not part of any package, booking, digital image purchase, print order, album order or photography service unless we expressly agree otherwise in writing before the booking is confirmed.
Requests for RAW files, unedited files, rejected images, extra previews, unused clips or unselected images will be refused. RAW and unedited files are unfinished working materials, may include duplicates, test images, blinking shots, rejected images or technically unsuitable images and remain part of our internal creative process.
Purchasing a photoshoot, digital package, print package, wedding package or any photography service does not transfer ownership of RAW files, unedited files, copyright, working files or the full set of images taken during the session.
No images, videos, prints, albums, digital files, edited work, previews or final products will be released until all outstanding sums are paid.
Prints are not automatically included unless stated in the selected package or confirmed by us in writing. Printing prices depend on the print size, product type, finish and quantity ordered.
Printed products, albums, framed prints, wall art, restored images, edited images and custom orders are made to the client’s specification. Once ordered, approved or sent to production, they cannot usually be cancelled or refunded unless faulty.
Clients are responsible for checking spelling, image choices, album layouts, sizes and product details before approval. Once approved, changes may not be possible or may incur extra charges. Colours may vary between screens and printed products because of monitor settings, paper types, printing processes and lighting conditions.
We do not provide delivery or postage for prints, albums, frames, wall art or printed products. All printed orders must be collected from our studio. Clients must contact us at least one day before collection to arrange a suitable collection time. Because we do not provide delivery or postage, we are not responsible for any loss, theft, damage, delay or non-delivery caused by any courier, postal service, taxi, driver, friend, family member or third party arranged by the client.
If the client sends another person to collect printed products on their behalf, this is entirely at the client’s own risk. Once the order has been collected from our studio by the client or by anyone collecting on the client’s behalf, responsibility for loss, theft, damage or any later issue passes to the client.
Clients must inspect printed products on collection and notify us of any visible issue at the time of collection. We are not responsible for damage caused after collection, including damage during transport, storage, handling, framing, display or use.
A deposit or payment is only refundable if Inspire Photo Studios Ltd cancels the booking and cannot provide the booked service or a suitable alternative.
If we cancel and cannot provide the booked service or suitable alternative, we will refund the deposit or any amount paid for the service we cannot provide.
A refund will not be provided where the client cancels, does not attend, arrives more than 15 minutes late, requests to reschedule, changes their mind, chooses another photographer, chooses another supplier, no longer wants the service, fails to prepare, dislikes the weather, dislikes the forecast, has travel issues, has parking issues, has personal circumstances, does not read the information provided, does not understand the package, or is unhappy because a child, baby or newborn does not smile, sleep, pose or cooperate.
Refunds will not be provided for RAW files, unedited files, rejected images, unselected images, extra images, additional editing, additional retouching, extra coverage time, prints, albums, products, discounts, extras or services that were not included in the package paid for by the client.
Nothing in this Refunds, Cancellations & Rescheduling Policy affects any legal consumer rights that apply under UK law.
This policy applies together with our Terms & Conditions and the booking details confirmed by Inspire Photo Studios Ltd.
